Position Descriptions

PRESIDENT
a.  Shall preside over all meetings of NSBE Boston Professionals
b.  Shall serve as the official representative of NSBE Boston Professionals
c.  Shall appoint members to committees as necessary and confirm/deny committee appointments made by zone leaders
d.  Shall create committees, subject to confirmation by the CEB
e.  Shall approve the chapter monthly report and submit it to the Region 1 Professionals Executive Board
f.  Shall prepare a brief report for each General Members’ meeting highlighting chapter activities
g. Shall prepare an Officer Transition Report by May 31
h. Shall hold this office for a 2 year team
*NOTE: On June 14, 2018 the NSBE Boston membership voted in favor of a 2-year term for the office of the President.

VICE-PRESIDENT 
a.  Shall preside in the absence or inability of the President
b.  Shall lead the activities of the administrative zone
c.  Shall oversee the activities of all standing committees
d.  Shall develop programs of interest for NSBE Boston Professionals in cooperation with the CEB
e.  Shall temporarily assume the duties of any Administrative Zone officer who is separated from office until a  replacement is in place
f.   Shall maintain the chapter calendar and supervise tasks related to proper execution of events and programs
g.  Shall require from relevant CEB officers proper documentation for all chapter programs, activities, meetings and events
h.  Shall compile monthly reports from all zone leaders into a chapter monthly report
i.   Shall keep an online record of all chapter monthly reports
j.   Shall prepare the chapter Annual Report/CDP
k.  Shall prepare an Officer Transition Report by May 31
l.  Shall hold this office for a 2 year team

TREASURER
a.  Shall lead the activities of the Finance Zone and also serve as a member of the Administrative Zone
b.  Shall appoint, subject to approval of the President, members of Finance Zone committees
c.  Shall assume the duties of any Finance Zone officer who is removed from office until a replacement is in place
d.  Shall schedule and conduct zone meetings as deemed necessary
e.  Shall maintain all NSBE Boston Professionals financial accounts
f.   Shall be responsible for maintaining an accurate and complete itemized record of financial expenditures
g.  Shall annually prepare a chapter budget and submit to the CEB for approval
h.  Shall ensure chapter compliance with the chapter budget
i.   Shall be responsible for collecting chapter dues and other payments to the chapter
j.   Shall present a quarterly financial report identifying income and expenditures of NSBE Boston Professionals
k.  Shall make expenditures for NSBE Boston Professionals in a manner approved by CEB
l.   Shall ensure chapter compliance with all relevant financial laws, NSBE policies, and tax regulations
m.  Shall prepare a zone monthly report
n.  Shall prepare an Officer Transition Report by May 31

SECRETARY
a.  Shall lead the activities of the Communications Zone and also serve as a member of the Administrative Zone
b.  Shall appoint, subject to approval of the President, members of Communications Zone committees
c.  Shall temporarily assume the duties of any Communications Zone officer who is removed from office until a replacement is in place
d.  Shall schedule and conduct Communications Zone meetings as deemed necessary
e.  Shall record accurately the minutes of CEB meetings and general membership meetings and disperse the minutes within 72 hours
f.   Shall require minutes of zone and committee meetings from appropriate zone leaders and committee chairs and will maintain an online record of all such minutes
g.  Shall fill and countersign all certificates issued and keep documentations or records of all certificate issuance
h.  Shall render reports and accountings to the General Membership, the Chapter Executive Board, and National Office as required by the National Operating Guidelines.
i.   Shall prepare a zone monthly report
j.   Shall prepare an Officer Transition Report by May 31

PROGRAMS CHAIRPERSON
a.  Shall lead the activities of the Programs Zone and also serve as a member of the Administrative Zone
b.  Shall appoint, subject to approval of the President, members of Programs Zone committees
c.  Shall assume the duties of any Programs Zone officer who is removed from office until a replacement is in place
d.  Shall schedule and conduct zone meetings as deemed necessary
e.  Shall coordinate NSBE Boston Professionals implementation of programs and professional development activities that accomplish the mission and focus of the NSBE Boston Professionals Chapter.
f.  Shall coordinate the implementation of NSBE Boston Professionals Chapter participation in selected partnerships and special events
g.  Shall prepare a zone monthly report
h. Shall hold this office for a 2 year team

MEMBERSHIP CHAIRPERSON
a.  Shall lead the activities of the Membership Zone and also serve as a member of the Administrative Zone
b.  Shall appoint, subject to approval of the President, members of Membership Zone committees
c.  Shall assume the duties of any Membership Zone officer who is removed from office until a replacement is in place
d.  Shall schedule and conduct zone meetings as deemed necessary
e.  Shall develop and oversee quarterly membership drives
f.  Shall design and staff a recruiting table(s) during membership drives
g. Shall be responsible for ensuring successful completion of chapter membership applications through the NSBE online system, coordinating with NSBE Headquarters to resolve any system problems.
h. Shall re-charter the chapter nationally
i.  Shall maintain an updated roster of chapter members and publish a chapter directory
j.  Shall recruit or help recruit manpower from the chapter membership for chapter projects/committees/etc.
k. Shall periodically develop and implement membership surveys
l.  Shall track attendance at all NSBE Boston Professionals events
m. Shall man the registration table for all NSBE Boston Professionals events
n.  Shall prepare a zone monthly report
o.  Shall prepare an Individual Position Report by May 31

FINANCE CHAIR
a.  Shall chair the Finance Committee
b.  Shall be responsible for maintaining and identifying new Chapter solicitation and fundraising events.
c.  Shall serve as a liaison between corporations and NSBE Boston
d.  Shall maintain the Board of Corporate Advisors
e.  Shall develop a chapter Solicitation Packet, proposals, and other funding requests
f.  Shall oversee all chapter fundraising activities and grant applications

PUBLIC RELATIONS CHAIR
a.  Shall chair the Public Relations Committee
b.  Shall create all marketing campaigns and paraphernalia for chapter programs and events
c.  Shall maintain the chapter Affiliate members email list
d.  Shall send all general emails for the chapter
e.  Shall maintain and actively post to all chapter social media accounts

PUBLICATIONS CHAIR
a.  Shall chair the Publications Committee
b.  Shall coordinate and distribute information to organizations and the public to promote the image of the NSBE Boston chapter
c.  Shall be responsible for frequent, internal grassroots communications, especially monthly newsletters.
d.  Shall be responsible for external correspondence and printmaking (i.e. pamphlets, brochures, programs, annual reports, tickets, quarterly newsletters) that are distributed to members, contributors, and other groups.
e.  Shall interact and partner with local media representatives in order to increase the brand and image of the NSBE Boston Professionals

TELECOMMUNICATIONS CHAIR
a.  Shall maintain the Chapter web page
b.  Shall record system-wide usage, perform a needs assessment, and determine current operational system compatibility
c.  Shall assist the Secretary in the performance of his or her duties.
d.  Shall design, develop and maintain a professional and attractive website and presence.
e.  Shall communicate with the CEB to insure the most relevant and up to date information is posted on website
f.   Shall stay current with latest software and hardware to support website and servers
g.  Shall develop, maintain and relay responses to on line chapter forms
h.  Shall create all online registration forms for chapter events and programs

SPECIAL PROGRAMS CHAIR
a. Shall support the Programs chair on implementation of initiatives
b. Shall assist with organizing all special events as identified or assigned
c. Shall recruit volunteers to assist in developing and executing all programs as identified or assigned
d. Shall communicate regularly with members of programs zone monitor progress of planning (using timeline) to ensure tasks are completed.
e. Shall shadow the Programs chair and serve in a backup role

PROFESSIONAL NETWORKING CHAIR
a.  Shall reside on the Membership Committee
b.  Shall oversee all events and programs related to the internal networking among chapter members
c.  Shall encourage mentorship and other resources of professional help between chapter members
d.  Shall encourage relationships between chapter members and the greater NSBE community
e.  Shall coordinate events with other professional members of the Boston community for networking purposes
f.  Shall distribute all known job and volunteer opportunities to chapter members

PARLIAMENTARIAN
a.  Shall chair the elections committee
b.  Shall maintain a copy of the most updated version of the Constitution, By-Laws, and Standing Rules of NSBE and the NSBE Boston Professionals
c.  Shall publish and disperse to new and old members copies of the NSBE Boston Professionals Chapter and NSBE Constitution and By-Laws as necessary, required, or requested
d.  Shall supervise all voting procedures for the chapter

PROFESSIONAL DEVELOPMENT CHAIR
a.  Shall chair the Professional Development Committee
b.  Shall coordinate NSBE Boston Professionals implementation of programs and activities that accomplish the mission to “succeed professionally”
c.  Shall monitor the technical development of members of the chapter, including promotions, certifications, and furthering education
d.  Shall implement Professional Development Meetings to facilitate professional development among chapter members
e.  Shall monitor relationships with corporate and community partners to ensure that members are receiving a professional benefit from the relationship
a.  Shall chair the Professional Development Committee
b.  Shall coordinate NSBE Boston Professionals implementation of programs and activities that accomplish the mission to “succeed professionally”
c.  Shall monitor the technical development of members of the chapter, including promotions, certifications, and furthering education
d.  Shall implement Professional Development Meetings to facilitate professional development among chapter members
e.  Shall monitor relationships with corporate and community partners to ensure that members are receiving a professional benefit from the relationship

COLLEGIATE INITIATIVE CHAIR
a.  Shall chair the Collegiate Initiative Committee
b.  Shall coordinate NSBE Boston Professionals implementation of programs and activities that help in-scope collegiate chapters accomplish the mission to “excel academically, succeed professionally, and positively impact the community”
c.  Shall oversee all Collegiate chapters identified in the scope of NSBE Boston by the CEB
d.  Shall keep a current roster of in-scope NSBE collegiate chapters along with contact information
e.  Shall enhance the relation between the NSBE Boston Professionals and local collegiate chapters
f.   Shall provide a pipeline of graduating college seniors into the NSBE Boston Professionals chapter

PRE-COLLEGE INITIATIVE CHAIR
a.  Shall chair the Pre-College Initiative committee
b.  Shall coordinate NSBE Boston Professionals implementation of programs and activities that accomplish the mission to “positively impact the community” through NSBE PCI chapters
c.  Shall oversee all pre-collegiate chapters identified in the scope of NSBE Boston by the CEB
d.  Shall keep a current roster of in-scope NSBE pre-collegiate chapters along with contact information
e.  Shall coordinate regular in-person visits to in-scope PCI chapters
f.  Shall be responsible for ensuring successful completion of PCI chapter charter applications for in-scope chapters through the NSBE online system, coordinating with NSBE Headquarters to resolve any system problems.
g.  Shall be responsible for chartering and overseeing any NSBE Boston Professional sponsored PCI chapters
h.  Shall be responsible for registering PCI members to National and Regional NSBE conferences
